COMPETITION OFFICE OPENING HOURS

Before the race the competition office is open Mon-Friday 08:30-16:00 (GTM +2). Please note that the gear can not be picked up before Friday 21.9.2018 at 13:00.

- Confirmation of participation in the race must be made to the competition office by 22.9.2018 at 08:50 by the latest.
Additional information about the confirmation of participation:
The confirmation should preferably be done on site on Friday between 13:00 – 21:30 or on Saturday 08.00-08:50. However, if you are unable to make it during these times you can do the confirmation by e-mailing email@example.com. All teams that make the confirmation per e-mail should be present on Saturday 15 min before the race information of their distance begins
- All teams get a map, swimming cap and start number after confirming their attendance.
- Unpaid registration fees have to be paid to the office by 08:50 on Saturday 22nd of September. The competitors who have paid the registration fee in advance are advised to bring the receipt of payment.
- Late registrations have to be made to the competition office 22.9.2018 by 08:50 at the latest. The fees for late registration are: Sprint: 165 € , Endurance 195 € , ÖtillÖ Merit Race 210 €. Please note that late registrations can only be made if there are available slots left.
Accommodation is available at Solvalla Sports Institute. The price is 45 euro/person in double room and 62 euro/person in single rooms. Breakfast is included in the accommodation fee. We also offer 3-5 bed rooms. If you require accommodation please contact the Race Manager.
All teams must have their own:
- First aid pressure bandage, packed waterproof
- 2 Wetsuits (1 per person), suitable for water temperature of 10 degrees Celsius
- 1 Compass or GPS watch
- 2 Whistles ( 1 per person)
It is also recommended that the teams have a water bladder
Solvalla Swimrun will supply the teams with:
- Race bibs, which must be worn visible all the time during the race.
- Timing chip
- Swim caps, which must be worn visible during all the swims.
- Pull buoy
- Hand paddles
- Tow line
Equipment that is not allowed are:
- Any floatation help that is bigger than 100 cm x 60cm
- Modified wetsuits with paint or colour that can wash off and contaminate the water.
Teams that for some reason have started the race but do not wish to complete it must notify the competition office about the termination as soon as possible!
A random equipment check will be conducted when teams finish.

Preliminary schedule for Shuttle Bus Service
A shuttle bus service is organized from the Helsinki Airport to Solvalla Sports Institute on Friday will be organized as follows:

20:00 Departure from the Airport to Solvalla
Price: 15 euro/team.
There are limited places available so make sure you book your seats as soon as possible. To book your place in the bus please e-mail: Alexandra.firstname.lastname@example.org
From the airport you can take the local train from the Airport to Huopalahti station. At Huopalahti you need to switch trains and get the local train to Espoo city centre. From Espoo city centre bus service 245 / 245A / 245K (Nuuksionpää or Kattila) goes to Solvalla Sports Institute.

RACE DAY PRACTICALITIES
Competition briefing sessions
Competition briefing sessions will be held for all participants.
Briefing session timetable:
- ÖtillÖ Merit Race: 09:00
- Endurance: 10:00
- Sprint: 11:00
Sauna and dressing rooms
After the race are the lakeside saunas are open 14:00-19:30
Dressing rooms are available in the Solvalla Arena and the old main building. In the Solvalla Arena there are dressing rooms reserved for Swimrun participants (lockable boxes in the dressing rooms, which work with 1 euro coins).
In the old main building, there are dressing rooms available for the racers. This is the building which is located next to Haltia Nature centre. The dressing rooms are locked during the race (clothes may be left there).
In case you do not want to leave your belongings in the dressing rooms there will be a free wardrobe service at the Solvalla Arena.
Hot soup will be served to the teams upon finish. A warm buffet meal is complementary for all teams and served on the Race Day between 14:00 – 20:00. Special diets need to be informed to Alexandra.email@example.com.
On the race track there are a total of 5 service stations ( 1 on the Sprint Track, 3 on the Endurance track and 5 on the ÖtillÖ Merit Race track)
On these service stations we will serve:

The participants in ÖtillÖ Merit Race are allowed to bring their own provisions to Service point 2, The race track passes the start- and goal area at about 14 km.
The price ceremony will take place close to the finish area 30 min after the 3 first teams in each series have crossed the finish line.
Photos and Media
Before the start of the race a team photo will be taken due to safety reasons. All photos taken can be used by Solvalla Swimrun for marketing purposes (See race rules section 17). There will also be a mandatory equipment check for every team. (See race rules section 8)
At Solvalla Swimrun we are greatful for the beautiful nature that allows us to arrange our race in such beautiful landscapes. We aim to be a green race and promote sustainability in order for us to be able to create races many more years to come.
We do the following to protect the beautiful environment:
- Collect all race bibs after the race, and aim to reuse them in coming races. Please return your bib after the race.
- Racers are not allowed to leave any trash or equipment on the track. All trash and equipment need to be taken to the finish line or thrown in bins at the service stations.
- Racers who deliberately leaves trash in the nature may be subjected to disqualification.

These persons also form a jury to which the participators can make a protest. The protest fee is 50 € and will be returned if the protest is approved.
As a partner of ÖtillÖ, the Solvalla Swimrun race rules follow the rules set by ÖtillÖ. Please read these rules carefully.
1. ENTRY PRE-REQUISITE
1.1 To be able to participate in ÖTILLÖ SWIMRUN WORLD SERIES you have to race in a team consisting of two persons that are at least 18 years old and able to swim.
1.2. Each team member needs to have a valid Swimrun insurance.
1.3. Your application is final. No entry fee will be reimbursed by the Race Organisation, with the ÖTILLÖ Swimrun Insurance you will get your entry fee back against a medical certificate.
1.4. It is allowed to change one team member of the same gender.
6. RACE COURSE
6.1. The race course is marked
6.2 The participants must follow the marked course
6.3 The participants that do not follow the marked course will be disqualified
6.4 There will be several water / food checkpoints throughout the course
7. MEDICAL POINTS
7.1 There will be several medical points where participants can get help if needed
7.1.2 There will be medical staff and equipment on boats and on land.
8. GENERAL ABOUT EQUIPMENT
8.1 All teams need to bring all their equipment from start to finish, if a team fail to bring all their equipment to the finish line they will be disqualified.
8.2 MANDATORY EQUIPMENT PER TEAM
- 1 First aid pressure bandage, packed waterproof
- 2 Wetsuits, 1 per person, suitable for water temperature of 10 degrees Celsius
- 1 Compass/Watch Compass
- 2 Whistles, 1 per person
8.3 MANDATORY EQUIPMENT THAT THE ORGANISATION WILL SUPPLY
- Race bibs must be worn visible all the time during the race
- Timing chip (lost or not returned timing chip will be charged
100 Euros or equivalent)
- Swim caps must be worn visible during all the swims
8.4 RECOMMENDED EQUIPMENT
- Water bladder
8.5 EQUIPMENT CHECK BEFORE THE RACE
Before the race there will be a mandatory gear check.
8.6 EQUIPMENT THAT IS NOT ALLOWED
8.6.1 Floatation help that is bigger than 100 cm x 60 cm.
8.6.2 No wetsuits can be modified with paint or color that washes off in the water. This will result in immediate disqualification.
9.1 The time is from the start until the finish line
9.2 The team has to pass all timing checkpoints and the finish line together
10. CUT OFFS
10.1 Throughout the course there will be cut offs where the teams need to pass by a certain time to be able to continue racing.
10.2 Information about the cut off times will be given the day before the start
11. RACERS RESPONSIBILITY
11.1 The participants must know the rules and follow these
11.2 The participants shall respect other participants, organisation, spectators and the people living in the race area.
11.3 The participants are not allowed to use unfair methods to get advantages
11.4 Doping according to Swedish RF rules chapter 13 are forbidden. 11.5 The participants are obliged to help in case of emergency if the organisation is asking for it.
12 BEFORE THE RACE
12.1 The participants can train and scout the course prior to the race but have to respect the residents in the area and behave according to the Finnish “everyman’s right”. Training recommendations for the area will be communicated via news letter to the racers as some areas are sensitive from an environmental perspective. These recommendations must be respected.
13. DURING THE RACE
13.1 The participants are participating at their own risk and can not hold the organisation responsible for any accident during the race.
13.2 The teams are obliged at their best ability to help another team that have been injured or being sick.
13.3 A team that has abandoned the race shall report it as soon as possible to the organisation.
13.4 The participants are not allowed to throw trash in the nature. If a team is doing so they will get disqualified.
14. RACE JURY
14.1 Race jury is the race director and two persons from the race organisation.
14.2 The race jury is:
- Enforcing the rules
- Decide the outcome of a protest
- Decide about disqualification
- Decide about course changes and changes in the rules
- At least two members of the jury is needed to be able to take a race jury decision.
- The race jury has the right to use “common sense” to take a decision about arisen situation if it is not clear in the rules
- The decision of the race jury is definitive.
14.5.1 A protest must be given in written to the race organisation within an hour after finishing the race.
14.5.2 A protest must include:
- Time and location
- Team number and signatures of the team members
- Team number or team name of the team that the protest is against
- The reason for the protest
- If possible include witness with name or team number
14.5.3 A protest that does not fill the criteria of point 7.2.2 will be ignored.
14.5.4 A decision from the race jury will be communicated to those involved as soon as possible.
Offence against the rules leads to disqualification.
15.1. External Assistance
It is not allowed to receive assistance from other people than the race organisation. Each team has to make their own way from start to finish.
16. GENERAL SAFETY RULES
16.1 The two members of each team has to stay together at all time and can not be more than 10 metres apart.
16.2 The race organisation can refuse a team to continue if they judge them not capable due to fatigue or being in such bad physical condition that continued racing would be to take unnecessary risk.
17. MEDIA AND SPONSOR EXPOSURE
17.1 Sponsor Markings
The teams are allowed to have sponsors marked on their race gear.
17.2 Race Bibs
The race bibs can not be modified in any way and must be worn all the time
17.3 Pictures and Film Free Rights
The participants gives the race organisation the right to use pictures and film material taken during the race to be used free of rights in marketing, press material, internet, television and films etc.
- Environmental issues.
Due to our Environmental policy all racers are asked to return their race bibs after the race. Racers who deliberately leaves trash in the nature may be subjected to disqualification.
By entering the race each team member accepts the rules in full.
All images and rights from the event are reserved. All unauthorized commercial use of images will be legally addressed.
